Terms of Use

1. About PracticeKit

PracticeKit is a suite of practice tools developed by Aryash Health Limited for Wye Valley Surgery, High Wycombe. The tools in use provide guidance, reference, scheduling and administrative support to practice staff — for example Safeguarding guidance, the Learning hub, the Rota, Practice Pulse, Staff Wellbeing, Cloak, the patient safety (PSIRF) workspace, and the Practice Cockpit with the partner-only Partners' Corner.

The tools are supplied free of charge under an Information Governance Agreement with the practice (version 1.0), to be agreed and signed at a forthcoming partners' meeting, and are to be introduced as a phased pilot. The agreement lists the tools in use. Other tools have been built but are not available to staff and are not covered by the agreement.

PracticeKit — its software, design, documents and content — remains the intellectual property of Aryash Health Limited, licensed to the practice for its own internal use.

2. Who Can Use This Service

PracticeKit is for authorised staff at Wye Valley Surgery only.

  • Access is by individual staff login — there is no public access
  • Access is closed by default and granted according to your role
  • Some tools are restricted further; the Practice Cockpit is for GP partners and managers they individually invite, and the Partners' Corner is for GP partners only

By using PracticeKit, you confirm you are authorised by the practice to use this service.

3. Not Clinical Decision Support

Important: none of the tools currently in use is clinical decision support, and none processes patient-identifiable data.

  • The tools provide guidance, reference and administrative support only
  • Clinical judgement always remains with the clinician
  • AI-generated content is a draft for a person to review — never a final record
  • Do not enter patient-identifiable information into any tool
  • When in doubt, escalate to a clinician

Aryash Health Limited assesses every tool for clinical safety before release, under a process aligned with DCB0129 and overseen by a named Clinical Safety Officer. Any future tool handling clinical content carries its own governance documentation and is re-agreed with the practice before it enters use.

4. Acceptable Use

You agree to:

  • Use PracticeKit only for its intended purpose within the practice
  • Keep your login credentials secure and not share them
  • Keep the tools and their content within the practice — do not share documents, exports, screenshots or demonstrations with anyone outside Wye Valley Surgery without Aryash Health Limited's written consent
  • Enter accurate information
  • Keep patient-identifiable information out of the tools
  • Use Cloak for non-clinical and administrative documents only
  • Review and approve any AI-drafted content before it becomes a record
  • Report any errors or concerns to the practice manager

5. Data and Privacy

The tools in use handle practice documents, staff personal data and practice business information. All AI processing and storage take place in the UK or the EEA. For full details, including your rights and how your private tools work, see our Privacy Notice.

6. Service Availability

We aim to provide reliable service but cannot guarantee uninterrupted availability. Maintenance or updates may temporarily affect access. Do not rely on these tools as the only route to time-critical practice information — keep your existing processes in place.

7. Limitation of Liability

PracticeKit is provided as a support tool, free of charge. Aryash Health Limited is not liable for decisions made using this service. Wye Valley Surgery retains responsibility for patient care, for its own records, and for the partnership's business decisions.

8. Declared Interest

Dr Yadavakrishnan Pasupathi (known as Dr Krishnan Pasupathi), a partner at Wye Valley Surgery, is the founder and sole director of Aryash Health Limited. This arrangement is declared to and agreed by the partners, and minuted accordingly. The tools are supplied at no cost, with no contract of sale or procurement obligation on the practice.
